GENERAL RESPONSIBILITIES
Guest Services Associates are often a visitor’s first point of contact at Mounts Botanical Garden (MBG) and play an essential role as the public face of the Garden. Associates are responsible for providing excellent customer service while processing sales transactions for admissions, event ticketing, memberships, and merchandise from the Garden Shop. The role also requires accurate use of point-of-sale (POS) and customer relationship management (CRM) systems, while safeguarding guest information. Guest Services Associates connect visitors to MBG’s mission, programs, and experiences in a welcoming and professional manner.
SPECIFIC RESPONSIBILITIES
Guest Services & Retail Support
- Greet visitors as they arrive, creating a warm and welcoming experience for all.
- Provide accurate information about MBG’s mission, exhibitions, events, tours, membership options, and Garden Shop merchandise.
- Accurately process admissions, memberships, and retail transactions using POS and CRM software, handling cash, credit cards, and guest information securely.
- Assist with receiving, processing, stocking, and displaying Garden Shop merchandise.
- Monitor inventory levels and notify the manager of restocking needs.
- Maintain clean and organized Welcome Center and Garden Shop areas throughout the day.
- Answer phones for the Welcome Center and Garden Shop in a professional manner.
- Promote Garden memberships, events, and special programs during guest interactions.
- Resolve guest concerns with courtesy and professionalism, referring complex issues to supervisory staff as needed.
- Support Garden policies and gently remind guests of safety and security requirements when necessary.
- Perform routine daily housekeeping and workspace upkeep to ensure areas are guest-ready.
- Provide coverage and support on weekends, holidays, and special events as scheduled.
Operational Support & Professional Expectations
- Follow all Garden policies and procedures while maintaining a professional appearance and conduct.
- Protect the confidentiality of guest information and handle sensitive transactions responsibly.
- Support a positive workplace culture by serving as an advocate for MBG’s community and mission.
- Work a flexible schedule that may include weekdays, weekends, evenings, holidays, and special events (e.g., exhibit openings, plant sales).
- Perform other duties as assigned to support Garden operations.
REQUIRED MINIMUM QUALIFICATIONS
Education and Experience
- High school diploma or equivalent required.
- 1–3 years of experience in retail, customer service, or a visitor-facing environment preferred.
- Prior experience in a garden, cultural institution, or hospitality setting is a plus.
Knowledge, Skills, and Abilities
- Excellent communication and interpersonal skills with a customer service–oriented approach.
- Ability to engage positively with diverse guests, staff, and volunteers.
- Familiarity with POS systems for processing admissions, memberships, and sales; proficiency with computers and ability to learn new systems quickly.
- Ability to problem-solve, multitask, and make decisions using sound judgment.
- Collaborative and flexible attitude, with the ability to work effectively with a variety of personalities.
- Ability to stand and remain active for extended periods, both indoors and outdoors.
- Must be able to work a flexible schedule, including evenings, weekends, and holidays.
- Bilingual in English and Spanish preferred.
WORKING CONDITIONS / PHYSICAL REQUIREMENTS
- Work performed in both indoor and outdoor settings, including exposure to varied weather conditions.
- Regular interaction with guests, families, volunteers, and groups in both individual and public settings.
- Requires the ability to stand and remain active for extended periods, both indoors and outdoors.
- Ability to lift and move up to 30 pounds, including merchandise, displays, and retail supplies.
- May involve occasional exposure to noise, dust, pollen, or cleaning/maintenance supplies.
- Must wear required branded Garden apparel provided by MBG; employee provides appropriate base clothing (pants/shorts, footwear, etc.). Dressier attire may be required for special events.
HOURS OF POSITION
- Part-Time, minimum commitment of 16–38 hours per week.
- Non-Exempt.
- Flexibility is required for occasional evenings, holidays, and special events.
- Occasional weekend availability is required.
CONDITIONS OF EMPLOYMENT
- Must be legally authorized to work in the United States.
- Employment is contingent upon satisfactory completion of reference checks.
- Employment is contingent upon satisfactory completion of a criminal background check.
